Task Management
Task management plays a crucial role in personal and professional productivity.
It involves organizing, prioritizing, and tracking tasks to ensure efficient and effective completion of goals and objectives.
Here are some key reasons why task management is important:
- Organization and Clarity:
Task management helps you stay organized by providing a clear overview of all your tasks and responsibilities.
It allows you to capture, categorize, and structure your tasks, making it easier to understand what needs to be done and when.
By having a systematic approach to task management, you can avoid overwhelm and ensure that nothing falls through the cracks. - Prioritization and Focus:
With an effective task management system, you can prioritize your tasks based on their importance and urgency.
This enables you to focus your time and energy on high-priority tasks that align with your goals and deadlines.
Prioritization ensures that you are working on tasks that contribute the most value and helps prevent wasting time on less important activities. - Improved Productivity:
Task management enhances productivity by providing a structured workflow.
By breaking down larger goals or projects into smaller, manageable tasks, you can tackle them one at a time, reducing the feeling of overwhelm and increasing productivity.
It helps you identify dependencies, allocate resources, and plan your time effectively to complete tasks efficiently. - Deadline Management:
Task management helps you keep track of deadlines and ensures that tasks are completed on time.
By setting deadlines for each task and regularly reviewing and updating them, you can avoid procrastination, prioritize tasks accordingly, and ensure timely delivery of projects or commitments.
Meeting deadlines improves your reliability and reputation. - Collaboration and Teamwork:
Task management becomes even more critical when working in teams.
It enables effective collaboration by assigning tasks, tracking progress, and facilitating communication among team members.
With a shared task management system, everyone has visibility into project status, responsibilities, and deadlines, promoting teamwork and accountability. - Continuous Improvement:
Task management allows for ongoing evaluation and improvement of your productivity.
By tracking task completion, reviewing performance, and analyzing the outcomes, you can identify areas for improvement, optimize your workflow, and make adjustments to enhance your efficiency and effectiveness over time.
In conclusion, effective task management is essential for maintaining organization, prioritizing tasks, improving productivity, meeting deadlines, facilitating collaboration, reducing stress, and continuously improving your work processes.
By adopting a systematic approach to task management, you can enhance your personal and professional productivity, achieve your goals, and maintain a sense of control and balance in your work and life.

Organizing Tasks In Projects
When planning a project use task management software to organize all of your tasks.
Here are good tips for organizing tasks.
Lists
Create tasks and use lists to show a linear progress of cards.
For example:
- To Do
- In Progress
- Done
- Resources
You can also use list “Backlog”. It will be before the list “To Do”.
Labels
Labels are good for categorizing your tasks.
For example:
- GIT - dark green
- High/Medium/Low Priority - yellow, orange, red
- Bug - red or purple
- Security - red
- Simple/Complex - light blue, dark blue
- Feature - light green
- Integration - light green
- Build - light green
- Maintenance - light green
- Cloud - light green
- Optimization - pink
- BackEnd / FrontEnd - black, purple
You can filter the view of cars by labels.
In Trello - search and then "#" and then label name (you can use multiple labels in filter).
Due Date
Add due dates for tasks to plan your schedule.
Choose due date by:
- Think the amount of time the task will take, and then multiply it by 2 or add 20% of the total time.
- Think how much time you will work in a week on the project.
- Calculate how much weeks it will take to complete the task - total_task_hours / total_work_per_week.
- Calculate due date = date_start_of_work + total_weeks
Attachments
Add attachments to tasks in order to add helpful information and also identify all the steps required for the tasks.
You can add:
- Checklists (write sub tasks). In Trello, you can drag items in checklists to change order of items, and drag items in checklist to another checklist
- Files
- Images
- Links
- Another task. In Trello, there is an option to connect cards after adding trello card attachment
Archive
Archive tasks you don't need anymore (like tasks in list "Done") to stay focused on the current tasks.
In Trello, there is an option to archive all cards in list (you can do this with "Done" list).
Apps
Use task management apps like Trello, Jira and Monday to organize your tasks efficiently.
